At the conclusion of the expo, any unclaimed graphics will be discarded.

The kiosk frame is a rental and may not be removed from the premises, however, if you would like to keep the graphic from the kiosk you may! Please inform Art Craft Display on-site that you would like to keep your graphic.

Exhibitors are encouraged to purchase a prize at least $50 in value for the attendee prize giveaway. Previous prizes have included designer handbags, trips/excursions, wine baskets, spa baskets, smart devices such Amazon Echo, gift cards or cash, and exhibitor products (such as 1 year free license of software).

Participating exhibitors will be encouraged to proudly display their prize at their own booth during the expo show. Vendors are encouraged to collect business cards or utilize the badge scanning lead retrieval service offered by MTS Tracking to select winners.

Vendor pass registrants have access to the expo on Tuesday from 5:00 - 6:30 pm only.

In contrast, full package registrants have access to all education, meals and networking functions all three days of the convention.

Vendor passes do not grant access to education sessions. You will need to register for a full conference pass. Some partnerships and sponsorships include complimentary full conference passes.

All meetings will be held on Zoom from 1 - 2 pm ET.

Attendance is limited to VIP+, VIP, and Standard Partners. Each eligible partner may have 2 representatives on the call.

General Art Guidelines:

  • Be sure to include the 2" bleed around the perimeter.
  • DO NOT design any critical elements (text, logos, etc.) within 2" of the edge.
  • Don't forget to account for the front visual area vs. endcap visual area.
  • Must be submitted as a PDF file.
  • Must be submitted in CMYK at full print size.
  • All solid coated Pantone colors should be called out in the art as spot colors.
  • Embed all images and support files.
  • Resolution must be 200-240 ppi @ 1/2 size, 100-120 ppi @ 100% size.
  • All fonts must be created to outlines.
  • Do not scale artboard.
  • Background color/images must bleed to the edge of the artboard.
  • Do not use spot colors from template in your artwork as they will not print.

Please remember, you only have 2 shelves on your kiosk, and one cocktail table with two barstools - you have limited space, please do not send a ton of materials.

Note, you may bring small tchotckes and/or marketing materials - you may also bring tablets or similar to showcase product demos or pictures. Electrical is not included. Pop-up displays and large equipment will NOT be allowed due to space constraints unless you purchase the DISPLAY BOOTH upgrade for $500. Display booths will be located on end caps and will not include the table and barstools.

Additionally, a reminder that we will continue our usual process of prize giveaways - HCAM will draw names from the Trivia Hunt for our grand prizes. You are welcome to collect business cards and do your own drawings at your booth. We will not announce winners for you.

The room block at the Amway Grand Plaza Hotel is not open yet - we will announce room block sales early summer 2025.

Associate Partners, Sponsors and Exhibitors may promote their engagement with HCAM however, the use of HCAM logo and statements indicating HCAM endorses your organization are strictly prohibited.

Scam Emails Selling HCAM Member List and/or Convention Attendee List

Scam artists have been emailing many of you about purchasing the HCAM membership list and/or our Convention attendee list. These are NOT legit. HCAM does not, and never will, sell our membership or attendee lists. Partners do get access to our membership directory and to Convention attendee list (no emails) - these will always come directly from Mary Gettel or Allison Taipalus at HCAM.

DO NOT PURCHASE A LIST FROM OUTSIDE COMPANIES. They are just trying to scam you.

Scam Emails & Calls For HCAM Convention Lodging

It has come to our attention that multiple companies inaccurately representing themselves as our "housing vendor" are contacting individuals in the HCAM community, soliciting business. Specifically, they will offer to make hotel reservations within the HCAM block on your behalf, and some will also claim that they are calling from the hotel itself.

HCAM is not utilizing the services of any housing service for Convention.

Reservations for Convention should be made directly with the hotel, via information provided directly by HCAM.

If you provide your credit card information to any of these unauthorized vendors, your card may be charged but you may not have a reservation when you arrive in Grand Rapids - these are highly skilled scam artists that can provide convincing forgeries including fake confirmation emails.

Legitimate Outside Ad Sales Agency - Naylor

Our membership directory is published by a company called Naylor. They may reach out to you in the coming months with information about purchasing ads in the directory. HCAM staff are not equipped to handle ad sales, so this is outsourced.

These are legitimate sales outreaches.

Sales for ads in our annual membership directory are limited to current HCAM partners only. Non-partners are not allowed to advertise.
